Guidelines
Submission Types: A. Professional B. Students
Important Submission Deadlines:
- Abstract Submission Deadline: 30th November 2024
- Video presentation for Evaluation: 10th December 2024
- Professional Poster (E-poster): Till 30th November 2024
- Poster Registration Deadline: 10th December 2024
All abstracts must be submitted only via the online form, which can be accessed after a submitter has created a new user account with an e-mail address and password.
The author will be notified about the receipt of their abstract by e-mail immediately. If you have not received a confirmation within 24 hours, please check your spam folder,and after this contact abstract@duphat.ae.
Authors will have access to their abstracts until the deadline and will have the possibility to edit abstracts with draft status. All correspondence concerning the abstract will be sent to the submitting author’s e-mail address.
A. Guidelines for Professional Category
- This category is for Academic Faculty / Researchers / Scientists / Post–Graduate Students – Masters / Pharm. D, Students who have already earned a bachelor's degree in pharmacy.
- Only one Author (Representative Author) and Max 2 Co-Authors are acceptable for Professional Posters.
- The Main Author of the abstract needs to register to the conference as a Poster Presenter with a fee of AED 882/- to enable to participate for the poster presentation.
- All Professional Poster Presents must upload their digital poster in the abstract portal by no later than 30th November 2024.
- Representative/ Main Author who does not confirm participation in attending the event personally and paying the Poster fee (Conference fee) will be rejected even if the Submission Code has been assigned.
- Posters will be displayed on TV screens and rotated throughout the event for 3 full days.
- ONLY a digital Poster will be accepted. All posters will be displayed on TV screens and rotated throughout the event for 3 full days.
- Professional poster presenters who have opted for Oral presentations in their submission, will be selected and a schedule for presentation will be given, after their registration is completed, as decided by the Scientific Committee. Oral presentation is optional and will be for 10 mins (max). Those who are selected for Oral are also required to submit the e-Poster which is mandatory.
- No correspondence will be entertained regarding the selection of posters for oral presentation.
- The selected posters for oral presentation will be displayed on the DUPHAT website. Poster Certificates for Participants.
Electronic Poster Guidelines - Professional Posters only (Mandatory e-Poster)
- Poster orientation: vertical / portrait format (like the usual paper poster)
- The poster file resolution should be 3,840 (Height) x 2,160 (Width) pixels.
- The poster file format/extension should be JPG or PNG.
- The poster file size should not exceed one (1) gigabyte.
- Poster Images: (clips arts, graphs, diagrams, and drawings) must be in high-resolution EPS format (300 dpi).
- The font size should be 25 points and above for the text to be readable on the screen.
- DO NOT use all UPPER-CASE characters in your poster.
Professional Poster Pre- Evaluation: for Competition
- Once the poster is accepted and upon registration, you are required to submit a video (3 - 5 mins.) on the abstract portal. A link to the video needs to be uploaded, explaining the content of the poster. Note the author explaining the poster should be seen (not for the entire duration) as well as the complete poster. This video will be used for evaluation by the panel of jury. The video can be uploaded to YouTube, Vimeo, Dailymotion, and a link can be uploaded to the abstract portal.
- The poster image needs to be displayed in the background while presenting.
- Only one video per poster will be accepted.
- The Main Author needs to present the video.
- The presentation will be evaluated by a Panel of Jury and the results will be announced on the final day of the event.
- Video should be submitted before 30th November 2024 to be included in the Competition (No evaluation of posters for those who submit late)
- Only those present at the Closing Ceremony (Day 3) will be entitled to receive the awards.
B. Guidelines for Students Category
- This category is for students studying bachelor’s degree in pharmacy and students directly pursuing Pharm.D without having earned the bachelor’s degree, students studying pharmacy and have not earned any pharmacy degree at the time the event is being held.
- The main author, will be considered as representative author for the poster. Additional names will be considered as Co-authors. A maximum of 3 Co-authors can be listed per poster.
- It is mandatory that at least of one representative author should register under the category of a “Student Poster Presenter” for acceptance of poster submission.
- Poster submission will be rejected if the representative author does not confirm participation in attending the event personally.
- No correspondence will be entertained for any poster rejected by the Organizers.
- Only posters of registered delegates will be considered.
- The abstract summary should be a minimum of 300 words.
Information For Displaying Poster (Mandatory Display of Poster)
- Size of the poster 90 cm width and 150 cm height (Vertical format only)
- Fixing of Poster The poster can be on board/foam board/paper digital prints.
- Each poster will be assigned a display code at the venue. This information will be displayed in the event area. Please check the display code in the poster area.
- Posters to be fixed in the designated space on the morning of day 1 of the event before 10:00 am.
- Materials required to fix the poster like glue tack, cello tape, etc. will be the author's responsibility. No pins or nails are allowed
- Any damage caused to exhibition panels/venue installations will be charged by the venue authorities to the representative author.
- Posters to be removed on day 3 of the event during the last session of the conference (after 1:00 pm & before 2:00 pm)
- No separate intimation of acceptance or rejection will be communicated.
Students Poster Presentation Awards: ( Based on the topic/theme, submission & presentation a few posters will be selected by the Scientific Committee.)
- Certificates: Only ONE certificate will be provided per student registered as Student Poster Presenter.
- A poster not displayed even after the registration fees are paid will not be entitled to the certificate.
